How to create users in Windows 11

To create users in Windows 11, add a new account for each person from Settings, using either a Microsoft account or a local account. Each person then gets their own settings, documents, and apps, which keeps files separate on a shared PC.

  • In Settings → Accounts → Other users, add an account in the Other users group and follow the prompts.
  • You can enter the person’s Microsoft account email, or create a local account that doesn’t need a Microsoft account.
  • To undo it, select the account on the same page and remove it, which clears its sign-in info and data from the PC.

Switch users in Windows 11

You can switch users in Windows 11 without restarting the PC. Open the account menu, choose another account, and sign in with that person’s credentials. The account you leave stays signed in, so you can return to it later.

  • Press the Windows key, select your account name or picture in the menu that opens, choose the other account, and sign in.
  • To see which accounts exist on the PC, go to Settings → Accounts → Other users.
  • You can also press Windows + L or Ctrl + Alt + Del and pick another account from there.

Sign in to Microsoft account Windows 11

To sign in to a Microsoft account on Windows 11, open your account info in Settings and follow the prompts to enter your email address or phone number and your password. Once you are signed in, your PC is linked to that account, so you can use services such as Outlook.com, Microsoft 365 and Xbox with the same sign-in.

  • Open Settings → Accounts → Your info, then follow the prompts to sign in with your Microsoft account.
  • The account details at the top of that page show which account your PC is currently using, so you can confirm the sign-in worked.
  • To sign in on the web instead, go to account.microsoft.com and enter the same email or phone number and password.

Sign in to Outlook.com

To sign in to Outlook.com on Windows 11, you can access your mailbox through your web browser or connect your account directly in system settings for single sign-on across apps. You will need your full Microsoft account username—such as an address ending in @outlook.com, @hotmail.com, or @live.com—and your account password. Connecting your account syncs your messages, calendar, and contacts while keeping your credentials secure.

  • Open Settings > Accounts > Email & accounts and select Add, remove, or manage app accounts to sign in.
  • Alternatively, open your web browser, navigate to the Outlook.com login page, and enter your Microsoft account credentials.
  • If you sign in from a new location or unfamiliar device, complete identity verification with a security code when prompted.

Create an email signature in Outlook

To create an email signature in Outlook, configure your email account in Windows 11 and customize your signature text directly within the Outlook application. Windows Settings allows you to manage connected accounts across your system, while Outlook provides tools to format text, add links, and select default signatures for your messages. Once you set up your signature, Outlook automatically includes it in your outgoing emails and replies.

  • In Settings, open Accounts > Email & accounts > Add, remove, or manage app accounts to set up your email account.
  • In Outlook, open the settings menu, select the signature options, and compose your personalized text.
  • Choose your default signature for new messages and replies, then save your changes to apply it automatically.
